Overview
The meeting room booking system works along with server and network (including LAN, Wi-Fi, mobile network, etc.), running with local server LAN or cloud server WAN as well. This system can collect and analyze the vacancy information of conference room, meeting arrangement, time and personnel arrangement, equipment arrangement, meeting records and other information, and then display the various instant meetings information with picture, text, audio and video information released through the network to the terminal display screen. It is convenient to quickly update the meeting information and publish it in real time, as well as dock with the central control system to automatically control the linkage switch and equipment. The system can effectively solve the management chaos of the conference room and other unreasonable problems to improve the working efficiency to the utmost.
The system adopts B/S architecture, integrates digital network information transmission technology, embedded system technology, distributed computing technology and central control technology, and provides a centralized, flexible and efficient conference reservation and management platform.
Function
It uses the B/S architecture, and users can log in to the system via the browser.
It can set the options of conference room, create and modify various departments.
It can control multiple meeting rooms for centralized management, as well as add, modify and remove the booking information, and set up the unoccupied status and supporting facilities of meeting rooms.
It can create different positions with different permissions, such as viewer, applicant, approver and administrator.
It can set permissions for different positions so that each performs its own functions.
It supports booking application for meeting rooms, available for setting up the time, the topic and the background picture of the meeting.
It supports two meeting booking approval modes, including automatic mode and manual mode.
In the automatic mode, all booking requests without conflict during the period will be approved.
In the manual mode, the booking information will not be published until it is approved by the user with approval authority.
Scheduled meetings can be viewed, cancelled or modified.
SMS notification service is supported and the notification can be received if the meeting is successfully booked.
It can display the meeting information before the scheduled meeting begins, and connect to the central control system to start up the relevant equipment in the meeting room in advance.
It has the to-do reminder function.
With the meeting security system, it can set security levels respectively from 1 to 10 for corresponding users.
It will only show “booked” for a confidential meeting rather than booking information such as the name and content of the confidential meeting on the public display screen.
Each meeting room can use multiple screens that support different backgrounds settings and display preview.
The screens can display the real-time announcement that includes text, pictures and videos for preview.
It can make an announcement by one-key operation and display it simultaneously on multiple screens.
It can stop displaying the published announcement or continue to publish at any time, and supports the timing publish function.
It supports scene control function of central control system.
It allows viewing the current booking status of all conference rooms for overview.
It has query and statistics function, offering the statistic data of the use frequency and duration of each meeting room.
